Terms and Conditions


General
 The Terms and Conditions below apply to all work submitted.


1. The London Independent Photography Annual Exhibition is open to all members with a valid membership of London Independent Photography at the time of submission and exhibition.
2. By submitting an image to the London Independent Photography Annual Exhibition, each entrant confirms that:
   
a) It is their own original work
   
b) That they own the copyright to each work
   
c) If their work is accepted; they will grant LIP the right to display a copy as part of an online exhibition gallery, on the LIP website, in LIP publicity media, and in the publication to accompany the exhibition. Each photographer will be credited appropriately.
3. Copyright of each image is retained by the photographer
4. It is the responsibility of the photographer to arrange insurance for their work if required. Whilst every effort is taken to ensure the safekeeping of submitted photographic prints and other materials, London Independent Photography will NOT be held liable for any loss or damage that occurs during the selection process, in storage or transit, or at the gallery.
5. The decision of the Exhibition Organiser is final


Submissions

6. Submission Guidelines: You must submit your completed form and associated image files by 11:59pm Friday 24 October 2025.


a) You may submit a maximum of six image files.

b) Two Independent Selectors (who are yet to be appointed) will select the works which they consider should be hung in the exhibition. A maximum of three works per photographer will be chosen. The Organising committee may select additional works or adjudicate works selected by one Selector, only to manage the total number of works hung.

7. The work submitted must not have been shown in a previous LIP Annual Exhibition.
8. Image specification for digital submission :
a)Please ensure that you upload image files with the following specification:
- jpg files, maximum 2MB each
- sized 1800px on longest side


b) How to name your files: : To keep the submissions anonymous please name your jpg files with your LIP Membership number as shown below. If you don’t know your LIP Membership number, check your online Membership Account, or contact the membership secretary at membership@londonphotography.org.uk

Files must be named with LIP Membership Number, ‘dash’, sequence number – so six files should be named as so:
(eg. if you’re member #5678)
 5678-1.jpg
 5678-2.jpg
 5678-3.jpg
 5678-4.jpg
 5678-5.jpg
 5678-6.jpg

If you are submitting images which form a series, place the letter s after the file name for each of the images forming the series. For example take 5678-1s.jpg, 5678-2s.jpg, 5678-3s.jpg, 5678-4s.jpg, 5678-5.jpg, 5678-6.jpg. In this string of numbers the first 4 images are part of a series and the last 2 images are single image submissions. If you wish to submit more than one series, use s1, s2.

NOTE: LIP cannot be held responsible for lost digital submissions if your files are not named to specification.

9. Print quality, size and hanging requirements for photographs which are selected for the exhibition :
a) Espacio uses a hanging system comprising sliding hooks on wires suspended from the ceiling. We cannot fix any work directly to the wall. Accordingly, selected prints must be framed or mounted on a rigid board (such as Foamex, Aluminium or MDF). Frames and boards must have D-rings attached to the rear to mount on the hooks. (See Help and Advice below below).
b) The absolute maximum size of work (including frame) is 75 cm wide and 95cm high. Larger works will not be hung. Make sure you have instructed your printer/framer correctly.
c) All finished selected work should be clearly labelled on the back with your name on the topside of the print marked (if necessary).
e) We cannot hang your work, if your print, mount and frame do not meet LIP’s quality standard

Fees

10. Entry fee is £25 per LIP member. This fee entitles each photographer to submit up to six images.
11. Hanging fee is £15 per work. This fee covers hanging and take down. It does not cover the printing and mounting of the work, which is the entrant’s responsibility.
